Job Summary
The Talent Acquisition Operations Coordinator plays a key role in supporting recruiting operations and administrative processes. This position collaborates with recruiters, the TA leadership team, hiring managers, and HR partners to coordinate interviews, track hiring activity, and manage onboarding logistics from offer acceptance through a new hire’s first day. The role interacts with stakeholders across the organization to support smooth execution of recruiting and hiring activities.
Essential Functions and Responsibilities include the following:
- Assist with coordination and schedule interviews across multiple teams, ensuring a seamless experience for candidates and interviewers
- Support onsite interviews at Corporate HQ by greeting candidates and coordinating day-of logistics, including conference room scheduling
- Assist in delivering a high-touch candidate experience for priority roles, including coordination for executive-level interviews
- Assist with recruiting events by coordinating logistics, preparing materials from Corporate HQ inventory, and managing shipment of event supplies
- Monitor and manage the recruiting inbox, responding to inquiries in a timely and professional manner
- Provide coordination support for employee referral tracking, ensuring candidates are reviewed and appropriately routed
- Manage internal candidate transfer processes across disciplines in partnership with recruiters, including updating and tracking activity within the ATS (iCIMS)
- Support talent acquisition initiatives, including candidate re-engagement campaigns and CRM pipeline activities for hard-to-fill roles, in partnership with recruiters
- Other duties as assigned

Education and Experience
- Bachelor’s degree (BS/BA) from four-year college or university and 1 to 3 years’ related experience and/or training; or equivalent combination of education and experience
- Knowledge of HR processes and recruiting/onboarding systems preferred
- 1–3 years of experience in Talent Acquisition, Human Resources, recruiting coordination, or administrative support
- Experience scheduling interviews across multiple stakeholders and time zones preferred
- Familiarity with applicant tracking systems such as iCIMS Talent Cloud or similar platforms
- Proven ability to manage multiple priorities in a fast-paced, high-volume environment
- Experience supporting recruiting events, onboarding, or HR operations is a plus
- Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
